What it is: The data retention window controls how long Optimize keeps your organization's raw user action data - screenshots, keystrokes, and click data, before it's automatically deleted.
What it doesn't affect: Aggregated, anonymized insights (e.g., top issues identified, team/company-level workflow patterns) are retained indefinitely by default, regardless of this setting. App usage summaries are subject to the same retention window as raw action data.
How to change it: The retention window is not currently a self-serve toggle in Optimize Admin Settings. It's configured per organization to match your data governance or regulatory needs. To change it, contact your CSM or Support and request an updated retention period - they'll configure it on the backend for your org.
Good to know: If a participant leaves your organization, their raw workflow data isn't deleted outright — it's disassociated from their identity and replaced with a pseudonym. It continues to contribute to aggregated insights anonymously, and the raw data is still subject to your configured retention window.
