Ever wish you could compare how different pockets of people work, without having to eyeball your whole team? Now you can.
With User groups, you can put a name to those subsets of people and use that group anywhere in Optimize — no more trying to mentally filter out the noise yourself.
How it works
- 1. Set up your group Your system admin creates groups in Organization settings → User groups. A group can include anyone in your workspace — it doesn't matter what team they're officially on, so you're free to group people however actually makes sense to you (by region, tenure, tooling access, you name it).
- 2. Use it to filter Once a group exists, you can point your reports, instances list, or semantic search at just that group. Want to see only what specific underwriters are doing? Filter to that group and everything else falls away.
- 3. Use it to compare Line up two groups side by side on the same metric, and see the differences at a glance — like how your tenured analysts handle a workflow versus your newest hires.
- 4. Just ask You can also @mention a group right in agent chat, the same way you'd tag a teammate:
"How does @group A-underwriters compare to @group B-underwriters on this workflow?" - 5. It stays up to date, automatically Add someone to a group, and all their past activity counts toward it immediately — no waiting, no re-running reports. Remove them, and it stops counting everywhere, even in reports you've already pulled. So you can build a group today and tweak it next month without redoing any work.
One small note: groups need at least 3 people, just to keep everyone's individual activity nicely anonymized.
