Understanding multi-team management on Scribe Enterprise

Scribe Enterprise is built for teams with more advanced security, governance, and team management requirements. There are three modules an Enterprise customer can choose from: Base, Core, and Grid. Each module has different functionality depending on the level of restrictions and requirements the customer has. This article outlines some answers to commonly asked questions. What is multi-team management and governance?

These concepts enable an Admin to enforce distinct access rights and redaction configurations across different teams. For example, Scribes in the Payroll team can’t be shared outside of that team, while Scribes in the Sales team could be shared externally. Combined with SCIM, multi-team management is the most robust way to manage groups of creators and viewers to ensure secure access to the right content.

 

Can an Admin restrict access to specific workspaces or teams?

Yes. The extent of your access restriction depends on your Enterprise module. 

  • Base: You can restrict access to a single team. You can make the team “Closed” which means all members must be invited or accepted. You can also mandate that content only be accessed by members of this team.
  • Core: You can restrict access to multiple teams. You can designate each team as “Closed” and you can limit content access to licensed Scribe users from your department.
  • Grid: You can restrict access to multiple teams. These teams can be designated as “Closed” or “Open." Any employee in your company can be granted authenticated access to browse content in designated team(s).

 

How can I lock down sensitive content?

Any user, regardless of their plan, can make any Scribe private or share it only with specific individuals. However, some Enterprise Admins want to proactively restrict share settings for Scribes to ensure a user cannot override permissions on sensitive content. The level to which an Admin can do this depends on their module. 

  • Base: Admins can restrict the audience for all content to only authenticated Scribe users in your team.
  • Core: Admins can restrict the audience to only authenticated Scribe users in the same team, or to only authenticated members across your department. The restriction the Admin chooses applies to all teams.
  • Grid: Admins have ultimate flexibility. They can manage different groups of users across different teams, and specify whether content in each team should be limited to licensed users in your company, that particular team, or accessible externally. The restrictions the Admin chooses can be team-specific.

 

Can I prevent other teams from editing or seeing my team’s content?

On all plans, only Scribe users on your team can be granted edit access. However, Enterprise Admins can set additional restrictions to ensure edits or views are made by the desired users. 

  • Base: Admins can restrict view access to only teammates.
  • Core: Admins can restrict view access to only teammates. An individual user can belong to multiple teams, so a user could be granted view access to one team's content but not another. 
  • Grid: Admins can restrict view access to only teammates for specific teams only. This is helpful if you have an HR team that should be restricted, but a Customer Success team that needs to share some guides with customers.
