Understanding workflows in Team Activity

When Autocapture finds work that repeats, it groups it into a workflow. This article explains what that means and how to use the Workflows view.

What is a workflow?

An activity is a single captured instance of someone doing something in an approved app — one run of a process. A workflow is the recurring pattern of work those activities belong to. Scribe groups related activities together so you see the shape of the work across your team.

Where to find it

Inside Team Activity (visible to admins), there are two views:

  • All — every activity captured across the team, listed individually
  • Workflows — that same activity, grouped into the recurring patterns it belongs to

Use the Workflows view when you want to see how a piece of work actually gets done across your team, rather than scanning individual captures one at a time.

What you'll see

Inside a workflow, you can see:

  • Who performs it and which apps it runs through
  • Which existing Scribes we think already cover parts of this workflow, and where the remaining gaps are
  • The individual activities that make up that workflow

What you can do with it

  • Create a Scribe from any activity in the workflow, one task at a time
  • Roll several of those Scribes into a Page — a single, end-to-end guide covering the whole workflow
  • See where you already have coverage before creating something new

Good to know

It typically takes 7–10 days after enrollment for workflows to build a clear picture, since they depend on activity building up across your whole team.
